Scope
This policy covers the personal information JobPick collects through the website and the product. It is written to meet the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
An employer who receives your application handles your information under their own policy as well as this one. What they may do with it is set out in our Terms of Service; their own obligations under the Privacy Act remain theirs.
What we collect
Depending on how you use JobPick, that can include:
- account details — your name, email address, mobile number and password
- your profile — work history, education, skills, licences and certifications, availability, work rights, and the CVs you upload
- applications — screening answers, cover letters, the CV you chose to send, and the stage an employer has moved you to
- employer details — the business, its ABN, verification documents, and the colleagues you invite onto your team
- messages you send through the product
- technical information — IP address, device and browser, and the pages you open, collected to keep the service running and secure
Some of this is sensitive information under the Privacy Act — a health condition affecting your availability, for instance, or a qualification that implies membership of a professional body. We collect it only where you give it to us for a reason connected to finding work.
How we collect it
Mostly from you: what you type into the product, and what you upload. Where we read a CV automatically to propose profile details, that is still information you gave us — nothing it proposes joins your profile until you accept it.
We also collect from an employer where they record something about your application, and from the service providers who help us run the site, such as our hosting and email providers.
Why we use it
To run the product you came here for, and for nothing unrelated to it:
- showing your profile and your application to the employers you apply to
- searching, matching and ranking, so a role you fit is easier to find and an employer can see why you were shortlisted
- verifying accounts and businesses, and keeping the service secure
- telling you about your applications, your messages and your account
- support, when you write to us
- improving the product, and meeting our legal obligations
We do not sell personal information. We do not send you marketing you did not ask for, and every message that is not about your own account or application carries a way to stop it.
Who can see your profile
By default, only employers you apply to. Applying shares your profile as it stands at that moment, together with your screening answers and the CV you chose.
If you switch discovery on in your privacy settings, employers hiring on JobPick can also find your profile in a search without you having applied. It is off unless you turn it on, and you can turn it off again at any time — which stops new employers finding you, though it cannot unsend an application.
CV parsing and matching
Two parts of the product read your information automatically. CV parsing proposes profile details from a document you upload, and the matching engine scores how your profile lines up with a posting and shows that band to you and to the employer.
Neither decides anything. No application is rejected automatically, a band is an estimate and can be wrong, and every hiring decision is made by a person at the employer. You can correct anything a parser got wrong, and you see the same match the employer sees.
Security, and where it is held
Information is held on servers operated by our hosting providers, encrypted in transit, and reachable only by the people who need it to run the service or to support you. Uploaded documents are served through short-lived links rather than at public addresses.
Some of our providers store or process data outside Australia. Where that happens, we take reasonable steps to see that it is handled consistently with the Australian Privacy Principles.
No system is perfectly secure. If a breach happens that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.
How long we keep it
Your profile stays while your account is open. Close the account and we delete or de-identify your personal information, except where we have to keep something — a record of a transaction, or anything the law requires us to hold — and then only for as long as that reason lasts.
An application you have already sent is a record of what that employer received. It stays with them under their own retention obligations, and closing your account does not reach into their copy.
Reading it, and correcting it
Most of what we hold about you is in the product already: your profile, your applications and your messages are all yours to read and edit. Your account settings are where you change your notifications, your discovery setting, or close the account.
For anything you cannot reach yourself — a copy of what we hold, a correction, or a deletion — write to support@jobpick.com.au. We will ask you to confirm who you are, and we will answer within a reasonable time. If we cannot do what you have asked, we will tell you why.
Complaints
If you think we have mishandled your personal information, tell us at support@jobpick.com.au. We will acknowledge it, look into it, and write back with what we found.
If our answer does not satisfy you, you can take the complaint to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
We update this policy as the product changes. The date at the top is when the text last changed, and the current version always lives at this address. For a change that materially affects how we handle your information, we will tell you before it takes effect.
Contact
Questions about privacy, or about this policy, can go to support@jobpick.com.au, or through the contact form.
